Make Your Templates Play Well With Others

If you're a power user of Microsoft Office, you might get frustrated when you use advanced features and your collaborators don't know how to work with them. Adding a colored text box with instructions will save time and frustration.

Put a text box 'post-it' on your document

In Excel

  • Click the Insert tab at the top of your screen and select “Text” near the right of your ribbon. Choose “Text box.”

  • Type your text in the little box that appears. Use the “Shape format” tab to give the box a fill color (Post-it Yellow is great for this purpose).

  • You can drag the handles out to make the box larger, or reposition it anywhere you want. Type your instructions in the box, like (“Column G is hidden” or “Use our boss’s name as the password to edit formulas”).

Pro Tip: Let them know they can delete the instruction box when they’re finished!

In Word

  • Click the “Insert” tab at the top of your screen and select “Text box” from the ribbon.
  • Choose “Simple text” from the menu that appears.
  • Use “Shape fill” to make the text box stand out. Type your instructions.

By default, the text box will appear in front of your document and won’t cause the material in the rest of the document to wrap.
